Secretaries Minutes

March 2, 2003

The meeting was held at Angelo's, where the members present enjoyed three large pizzas.  The meeting was called to order by Polly Higgings.  The American pledge was led by Barbie, the 4-H pledge by Leo.  There is currently $990.64 in the club checking account and $225.14 in savings.  The secretaries report was read, and other officers gave thier reports.  Dawn announced April 9th as Bullitin Board night.  Any club members who want to help should be there at 5:30.  September 4th is fall round up. Leo reported that the speakers are still in the process of being fixed.

 Old Business:

Those who attended Nationals had a very good time.  The "pool noodles workshop"  was very informative and entertaining.  About $600 was spent and a total of about 32 hours was spent on the road.  The snow storm slowed things down a lot, and Leo's parents let them stay over at their house (whom we will send a thank you card).  The trip to UMKC did not turn out to be very productive.  None of the prospective members for the new club being formed there were interested in becoming an officer.  It is possible that Polly may go back on the 14th. Our outstanding club application was filled out and turned in.

 New Business:

Polly was invited to the President's Breakfast on March 14th at 7:30.  We discussed ideas for the Bullitin board and will discuss more at the next meeting.  It was mentioned that this is a good tool for member recruitment.  From this the discussion went into further ideas for member recruitment.  We thought we should start at the county level and let high school 4-H members know about our club.  We also discussed the activities fair, fall round up, and word-of-mouth recruitment ideas.  These ideas will be discussed more at the next meeting.  Barb said we would know more about sandwich making by the April meeting.

For community service, we discussed the suitcase project, Camp Hickory Hills, and Officer Training.  The Carry-0n Suitcase project still needs donated suitcases.  100 are needed and there are 30 at the present time.  Dr. James could not be contacted for a date to help at Camp Hickory Hills, Karen will try again to get in touch with him. For Officer training we discussed going to a different location in a different county.  It is possible for us to host one in the fall.  Melissa suggested giving out a questionairre at state congress to find how many would be interested in this before we do it. If we do it, we should hold it in September or October to follow the 4-H year adn do it as closely as possible to the time when new officers are installed.

The 4-H Conference in Colorado that Barbie mentioned starts Tuesday June 17th and ends June 20th.  Anyone is welcome to come.  Jacob has the NCC/RCC folder and will get it to Barbie.  We discussed doing something similar to the noodle workshop for other events or maybe in place of officer training.  It was a very good way to build leadership, teamwork, adn communication. Polly will chech with Khandicia to be sure the insurance check was mailed.  Leo and Polly will get the reciepts from the Nationals trip to Khandicia for reimbursement. Khandicia's name should still be on the SOAC account, but Melissa will check to be sure that it is so information is sent to her.

Officer attendance was discussed.  Polly read the excerpt from the by-laws concerning the policy on this.  Starting in April, we will begin counting officer attendance .  After two unexcused absences, officers will be dismissed. An e-mail will be sent out to let everyone know about this policy.

An 18% tip was decided on for the pizza.  Barbie made a motion to adjourn the meeting, Dawn seconded this motion, and the meeting was adjourned.
